EXECUTIVE & COPORATE SERVICES HEAD
The Executive Office & Corporate Services Head manages the overall requirements of the organization specific to corporate services, executive services and purchasing & acquisition aligned to the company’s corporate strategy. He/She manages the implementation of identified strategic and operational system by managing and developing systems in the administration of corporate services, executive services and purchasing and acquisition. He/She manages the EOCS-related budget and expenses and develops system of budgetary requirements procedures. He/She manages the assignments of tasks of the EOCS team, as well as the outsourced janitorial and messenger staff.
DUTIES and RESPONSIBILITIES:
▪ Manages the corporate needs and requirements of the organization by providing services in the area of marketing, security, legal, office upkeep and maintenance, messenger’s assistance and storage and archiving to ensure the timely and efficient delivery of business services to contribute to the achievement of corporate goals and strategies
▪ Manages the executive needs and requirements of the Board of Directors, Office of the President, Executive Committee, and Management Committee to facilitate ease and efficiency in the day-to-day business operations of the Executive Officers
▪ Manages the purchasing and acquisition needs and requirements of the entire organization by ensuring the timely and effective administration of supplies and equipment inventory, supplier sourcing and accreditation, biddings and documentation, purchases and acquisition documentation and equipment maintenance and accountability.
▪ Manages the review, evaluation and approval of budgetary requirements for the processing and facilitation of corporate, executive and purchasing and acquisition services to ensure the prompt delivery of products and services supplied by outsourced providers.
▪ Manages and develops system of administration of corporate services to achieve high level performance of providing the necessary services to all levels within the organization.
▪ Manages the day-to-day operations of the department to ensure timely and efficient response to internal and external customers, the coaching and development of EOCS staff, and consistency of daily operations with departmental and corporate strategies and individual targets
▪ Demonstrates leadership through efficient implementation of Logistic department policy and procedure
▪ Checks & monitors canvassing activities to ensure competitive product, margins and strategies Checks for target costing for new and existing projects of the department.
▪ Ensures price negotiation and supplier’s decision making, preparation of purchasing reports, coordinates within department on costing saving activities, localization projects and supplier quality goals.
▪ Act as point of contact/primary liaison between company and vendor/service providers
▪ Manages a few of company’s most strategic vendors in providing leading edge solutions through improved processes/efficiencies, communication, reduced/optimum cost and vendor relation management.
▪ Ensures on lowering total cost of ownership on solutions and services, run negotiations, lead procurement projects in value of Purchase Order/Contract.
▪ Ensures purchasing ethics while dealing with suppliers & staff alike
▪ Reviews specifications for material, supplies services and equipments to be purchased.
▪ Follows-up on orders previously placed, solving problems such as ate delivery, variation from specifications, incorrect pricing, etc.
▪ Prepares and maintains accurate records and documentation on all purchases, quotations correspondence and related follow-ups.
▪ Coordinate deliveries and reviews orders received for accuracy and condition of merchandise
▪ Reviews orders for completeness, accuracy, and compliance with existing policies and procedures
▪ Handles various communication needs of the Executive office by taking care of correspondence, by preparing drafts and final copies (letters, memos, minutes of meetings, etc.)
▪ Checks and maintains all reticulation services such as water, electricity, air conditioning, etc,
▪ Manages the security, checks the administrative requirements of his/her clients
▪ Performs all other tasks assigned by the President/Director
ESSENTIAL COMPETENCIES
▪ College Graduate preferably Business Administration
▪ At least 5 years significant work experience in executive, corporate and/or purchasing & acquisition services at managerial capacity
▪ Finance or remittance products or services preferred but not required
▪ With executive, corporate and purchasing-related experience
▪ With good interpersonal Skills, people-oriented, highly skilled in bargaining and negotiation with service providers and suppliers, good coordination skills at all levels of the organization, and has the ability to deal with Executives.
▪ Able to think systematically, see patterns and interrelationships, create frameworks for achieving outcomes in new ways, and able to come up with viable options and alternatives despite limitations in current reality.
▪ Can organize and present information, views and concepts, verbally and in writing, in a clear, accurate, concise and timely manner.
▪ Able to support services in the areas of marketing, security, legal, office upkeep and maintenance, messenger, storage and archiving services requirements of the organization.
▪ Must be able to support services for the requirements of the Board of Directors, Office of the President, Executive Committee, Management Committee to ensure efficiency in operations
▪ Able to manage the financial aspect of the administration of services ensuring timely processing and release of payments to suppliers and service providers.
▪ Able to provide support in the administration of corporate services specific to corporate events management and corporate bills payment to ensure smooth and uninterrupted business operations.
▪ Must be able to plan, lead, organize, control and manage the day-to-day operational requirements of the department/division.
▪ With unquestionable Integrity, Honesty and Maturity
▪ Female, not more than 40 years old with pleasing personality
▪ Must possess the maturity, integrity, persuasiveness and business acumen to work effectively with vendors at the executive and senior level on strategic initiatives and procurement
▪ Ability to review and streamline processes where necessary to ensure overall efficiencies, effectiveness, cost optimization and mitigating risk to ensure that at all times the interest of the company is protected.
