ABOUT THIS JOB
You must be an excellent organizer, with a love of learning and an enjoyment in the process of finishing projects. You are only happy when you are busy. You have experience in providing high-level administrative support through the conduct of research, the preparation of statistical reports, management of information requests and in the performance of clerical functions such as preparing correspondence, arranging conference calls, and scheduling meetings. You would also be training other team members in this calling.
GENERAL REQUIREMENTS
- Experience in Business Administration.
- Excellent Organizational Abilities
- Master of Tracking, Reporting and Metrics
- Experienced in External and Internal Customer Service
- Client and Personal Service Experience: Knowledge of principles and processes for providing professional customer services. This include client needs assessment, meeting quality standards for services and evaluation of customer satisfaction
- English Language Proficiency: Knowledge in the structure and content of the English language (US) including the meaning and spelling of words, rules of composition and grammar (written and spoken)
- Technological Savvy: PC/MAC operational knowledge, Google Apps, Basecamp, Skype, SugarCRM, MS Office, Open Office, Market Samurai, Quickbooks, Google Analytics, Google AdWords, Wordpress and/or Joomla
- Clerical Expertise: Knowledge of administrative, clerical procedures, basic accounting procedures and systems such as word processing, managing files and records and transcription, designing forms, and other office procedures and terminology. Knowledge of MS Office, including Word, Excel, PowerPoint and Outlook or Open Office
- Excellent Auditory, Spoken and Written English.
- Excellent Typing Skills
For Human Resources (desired):
- Knowledge in Human Resource Management Functions- especially in recruitment
- Clerical Expertise: Knowledge of administrative, clerical procedures, basic accounting procedures and systems such as word processing, managing files and records and transcription, designing forms, and other office procedures and terminology. Knowledge of MS Office, including Word, Excel, PowerPoint and Outlook or Open Office
GENERAL DUTIES AND RESPONSIBILITIES
- Data Entry, Data Analysis and Reporting
- Email Management
- Research – Online and Offline
- Editing Online Web Presence, Posting Content (Joomla and WordPress)
- Learning New Skills and Technologies as Required
- Prepare responses to correspondence containing routine inquiries (email).
- File and retrieve corporate documents, records and reports
- Prioritization and management of multiple projects simultaneously and follow through on issues in a timely manner
- Work closely with the Partners to coordinate and launch hard copy or email campaigns to consultants, clients and potential clients
- Communicate and handle incoming and outgoing electronic communications on behalf of the Partners
- Manage and maintain executives’ schedules. Calendar management including the coordination of complex executive meetings
- Preparation of invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database and presentation software
- Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution
- Audio Transcription – Meetings, Presentations and Conference Calls
- Document Creation and Proofreading
- Provide support experience in a professional services, sales or marketing environment
- Assistance in prospect and sales forecast preparation and management
For Human Resources:
- Candidate processing tasks: Candidate search and recruitment; Conducting preliminary screening of CVs and application letters; interviewing candidates; administering tests
REQUIREMENTS
